Straight answers to the questions operators ask before adopting a new platform.
Will this platform replace our existing systems or integrate with them?
Both — your call. QFO runs as a complete dispatch + tracking + billing + payroll platform out of the box, but it also ships with read/write APIs and webhooks so you can keep your current TMS, EHR/LIS, or accounting tools and pipe data between them. Most partners start by replacing manual dispatch and tracking while keeping their existing billing or fleet-maintenance system connected via API.
What operational benefits justify changing current workflows?
Auto-dispatch scores drivers by proximity, on-time record, safety, and fuel — reducing manual coordination per route. Live GPS + cold-chain, digital chain-of-custody, and one shared data model for dispatch, billing, and payroll remove the sync gaps that cause missed runs and billing errors. The result: faster STAT pickups, fewer re-runs, and audit-ready compliance logs without a separate system.
How much training and process change will be required?
Minimal. Dispatchers work a familiar dashboard; drivers use a mobile app for accepting runs, scanning, signatures, and POD — no new hardware required. We provide onboarding templates, role-based walkthroughs, and a driver quick-start. Teams can be live in days, not quarters, and drivers can be productive after a single shift. Existing SOPs map directly into the platform rather than being rewritten.
Will the partnership increase costs without increasing delivery volume?
No — it consolidates costs. One subscription replaces 3–4 separate tools (dispatch, tracking, billing, payroll) and eliminates manual compliance log time. Partners can offset the platform fee through lower admin overhead, fewer missed-delivery re-runs, and faster invoicing. Pricing scales with the value you capture, so you are not paying for capacity you do not use.
Who owns and controls the data and the platform?
You own your operational data — shipments, stops, customers, and billing records are yours and exportable anytime via API or CSV. QFO owns the platform code and infrastructure; partners operate under a clear BAA and partner agreement with defined data-use, retention, and termination/transition clauses so your business is never locked in.
Do we bring our own fleet, or can QFO supply drivers?
Either model works. Bring your own fleet and use QFO as your operating system, or tap the QFO network to extend coverage into metros where you do not have density. Hybrid setups — your core fleet plus QFO overflow for STAT and peak volume — are common and supported natively.
For IT directors
How hard is API integration with our healthcare systems?
Built to slot into your existing stack — not force you to rebuild it.
QFO provides shipment REST + JSON endpoints and webhooks. Integration scope, data mapping, authentication, testing, and timing are agreed with your team. FHIR / HL7v2 connectivity requires partner-specific development and validation.
Standards-native
REST + JSON shipment endpoints support integration development. FHIR / HL7v2 bridges require partner-specific implementation and validation.
Webhooks, not polling
Subscribe to shipment, stop, and POD events so your systems react in real time instead of pulling status on a timer.
API documentation
Review available endpoint documentation and sample payloads with QFO. SDK coverage and integration timelines must be confirmed for your workflow.
Auth & security defaults
Scoped API keys and signed webhooks support controlled integration access. Security configuration and required agreements must be verified for each engagement.
Low change footprint
QFO reads from and writes to your systems through existing endpoints; we do not require you to modify your EHR/LIS schema or rip out current workflows to go live.
Incremental adoption
Integrate one workflow first (e.g., pickup requests in, POD confirmations out) and expand from there — every endpoint is independently callable.
Partnership clarity
A collaborator, not a competitor
QFO seeks partnerships with courier companies and software vendors — and we understand the natural concern. Here is exactly how we keep the relationship collaborative, not competitive.
QFO is a platform business, not a fleet operator trying to corner your lanes. We win when you win: the more efficiently your courier company or software product runs on QFO, the more value we both capture. Every partnership term is designed to protect your brand, your customers, and your independence.
Platform, not a rival courier
QFO is software for medical courier operations. We are not trying to win your customers — we are giving your company a system to win more of them. Your client relationships, your branding, and your routes stay yours.
White-label & SaaS licensing
Vendors and regional couriers can license the platform under their own brand. Your customers see your name on the portal and app — QFO is the engine behind the scenes, not a visible competitor.
Revenue sharing, not zero-sum
Partners who resell or co-market the platform earn recurring revenue share. Software vendors who integrate their product onto the platform reach our customer base without building logistics from scratch.
Open APIs to your stack
If you already have a TMS, route planner, or billing tool, QFO integrates alongside it rather than forcing a rip-and-replace. We extend your product, we do not displace it.
Co-opetition by design
Regional non-competing couriers can swap overflow capacity through QFO so everyone keeps SLAs during peak volume. We connect networks; we do not absorb them.
Your data, your IP, your exit
Partners own their operational data and customer relationships. Agreements include clear data-use, non-compete, and transition clauses so partnering never risks your independence.
Risk & evidence
Closing the gap between vision and proof
The strongest risk in any platform play is the distance between the strategic narrative and hard evidence. Here is how we close it.
Our position
We treat the vision-vs-evidence gap as the central operating risk and manage it with data, not storylines. Every market-demand, scalability, and viability claim below is designed to be validated by measurable data as the business scales — and where evidence is still maturing, we say so and show the path to proof.
Market demand
Evidence: Florida's healthcare network includes hundreds of hospitals and thousands of laboratories and pharmacies, within a large national medical logistics market. QFO is entering this market with a Miami, Florida launch territory and a platform built for healthcare-specific requirements.
Mitigation: Market demand is being validated through direct prospect outreach, waitlist signups, and pipeline development — not assumed from market size alone.
Scalability
Evidence: The platform runs on a single shared data model covering dispatch, tracking, billing, and payroll — designed to scale horizontally as new metros and partners are added.
Mitigation: Software scales horizontally — adding metros and partners does not require rebuilding the platform, only provisioning and onboarding. The architecture supports both QFO-operated territories and independent software subscriptions.
Financial viability
Evidence: Planned revenue streams include operating services for QFO-operated territories, software subscriptions for independent logistics companies, and API/integration revenue.
Mitigation: A mixed revenue model (operating services + platform licensing) is designed to reduce dependence on any single stream. Each new partner is designed to improve unit economics rather than dilute them.
Vision vs. proof gap
Evidence: Every strategic claim maps to a measurable: on-time %, STAT pickup window, integration time, dispatch-admin reduction, and audit outcomes are all tracked in-product.
Mitigation: We track the metrics that validate the roadmap and reject features that cannot be tied to usage, revenue, or support-signal data — closing the vision-to-evidence loop by design.
Risk management
How QFO monitors risk
A platform's greatest risk is the one nobody is watching. These mechanisms keep operational, safety, security, and compliance risk under continuous review.
Monthly operational performance reviews
Leadership will review on-time %, STAT-window adherence, dispatch-admin reduction, and route efficiency against targets every month, with corrective action plans for any metric drifting below threshold.
Customer feedback & service quality reports
Per-shipment CSAT ratings and support-ticket trends are tracked continuously and summarized in a quality report so recurring issues surface fast and feed the data-driven roadmap.
Driver safety & incident tracking
Driver scorecards log on-time performance, safety incidents, and route compliance; incidents trigger review and retraining before they become claims or contract risk.
Vehicle maintenance inspections & reporting
Pre-trip inspections and scheduled maintenance are recorded in-app, with overdue items flagged automatically so fleet readiness and cold-chain reliability stay assured.
Cybersecurity monitoring & periodic audits
API activity, access logs, and integration endpoints are monitored continuously, with scheduled security audits validating encryption, access controls, and PHI handling against HIPAA expectations.
Compliance reviews & audit-readiness
Partner onboarding checklists, insurance certificates, and regulatory documentation are re-verified on cadence so the company and every partner stay audit-ready at all times.
Each mechanism feeds a quarterly risk review that classifies findings by likelihood and impact, assigns an owner, and tracks remediation to closure — closing the loop between monitoring and action.
